I am not familiar with scanners and the scanning process. How important is the handling of the scannable forms?
In order for the scanner to accurately scan your sheets/booklets and collect good data, it is very important that the forms be handled and processed correctly. Below are listed some tips that can help ensure successful scanning.
- Booklets should be carefully separated along the perforation, whether by hand or with a cutter. Sheets that have an uneven edge or tears in to the sheet will not scan correctly.
- Repair a sheet if it has been torn or damaged. Straighten out bent edges. If a sheet cannot be repaired, copy the marks from the damaged sheet onto a new sheet for scanning. Note: Tape on a sheet can change the thickness of a sheet enough to cause an error message.
- Fanning the sheets by holding them in one hand and then running your other hand across the edge of the sheets will help separate sheets that may be stuck together.
- It is important to jog (either with a jogger machine or by hand) the stack of sheets on the timing mark edge to get them all in line. Make sure the timing mark edge of the sheets are snug against the inside rail of the scanner when feeding. This is especially important with separated booklet sheets since they can be slightly smaller than the header sheet.
- Dirt and other types of smudges can interfere with the way your scanner reads a sheet. Keep the scanner and sheets clean and in good condition.
- The type of pencil or pen to use in filling in marks is determined by the scanner read head. Know your scanner and what is required.
- Very wet or dry conditions can cause issues with sheets. Keep sheets in a controlled environment for 24 hours before you attempt to scan them.
- Control static electricity. It can interfere with the way your scanner operates.
